Credit Rating Preparation and Surveillance Support

Present your business and financial position clearly.

A rating exercise requires reliable information, consistent explanations and timely management responses. PvtFin helps corporate finance teams prepare for external credit rating assignments and maintain an organised process for agreed surveillance requirements.

Support for the company's side of the process

Your company engages the rating agency directly. PvtFin works for the client on the agreed preparation and coordination tasks. The agency conducts its own analysis and makes its independent rating decision. Our engagement does not purchase a rating or assure a particular grade.

This service addresses external agency ratings. For CMR, commercial credit reports and credit-record queries, see Corporate Credit Advisory.

When this service may be useful

  • Your company is preparing for a first rating assignment.
  • A surveillance review is approaching and information remains incomplete.
  • Financial statements, lender data and management information require reconciliation.
  • Management needs a clearer explanation of business performance, liquidity or debt servicing.
  • The agency has raised questions that require coordinated replies from several departments.
  • A significant business event requires an organised information update.
  • Earlier information requests remain unresolved.

We first assess the actual requirement, available records and relevant dates. The appropriate scope may be a readiness review, preparation of an agreed information pack, support during the assignment or continuing information coordination.

What PvtFin can help prepare

Readiness and information-gap review

Review the available financial and business records against the agreed assignment requirements. Identify missing information, inconsistent figures, unanswered questions and matters requiring management or specialist attention.

Financial and borrowing information pack

Organise agreed historical results, current performance, debt schedules, repayment commitments, working capital information and liquidity explanations. Record the source and period of key figures so that the client team can review them consistently.

Business and management explanations

Help management explain the business model, customer and supplier position, operating performance, investment plans and material developments. Where projections are needed, document the assumptions and reconcile them with the available business evidence.

Management discussion preparation

Prepare an agenda, supporting schedules and a question register for management discussions. Identify the people best placed to answer particular questions and record where further evidence is needed.

Query-response coordination

Coordinate inputs from finance, treasury, operations and other authorised teams. Prepare draft responses for client approval, maintain version control and track the agreed submissions and open items.

Surveillance information calendar

For an agreed continuing assignment, maintain a calendar of information requirements and management updates. Track record collection and client-approved responses as the agency conducts its surveillance work.

What the client receives

Depending on the mandate, outputs may include a readiness note, document-gap list, reconciled schedules, approved company information pack, management discussion brief, response register and surveillance tracker. The quotation identifies the entities, facilities or instruments, review period, meetings and revisions covered.

We work from client records and clearly identify assumptions and unresolved differences. Audit, certification, legal interpretation and other specialist opinions are separately assigned where needed. Management remains responsible for accurate and complete disclosures and for approving representations made on the company's behalf.

How the engagement works

  1. Establish the requirement

Confirm the company, rating or surveillance context, agency involved if already appointed, facilities or instruments concerned and nearest information deadline.

  2. Review readiness

After confidentiality and engagement arrangements are agreed, review the identified records and prepare the agreed gap list or readiness assessment.

  3. Prepare and coordinate

Build the accepted information pack, coordinate management inputs and prepare responses for approval. Track submissions and matters requiring further explanation.

  4. Close or continue the scope

Complete the agreed deliverables and hand over outstanding actions. Any continuing surveillance support receives its own defined work plan and review frequency.

Start with basic information

For an initial discussion, share the company name, authorised contact, whether this is a first rating or surveillance review, the agency if already appointed and any immediate request or deadline. Detailed financials and confidential agency correspondence are requested after the relevant confidentiality and scope arrangements.

Fees and responsibilities

PvtFin's fee covers the agreed client-side advisory work. The rating agency's agreement, fees and decisions remain separate. Preparation, assignment support and continuing surveillance coordination can be scoped separately. The quotation also identifies professional inputs, expenses and work outside the accepted mandate.

Questions companies ask

Can you obtain a particular rating for our company?

No specific rating can be assured. Our role is to help organise reliable information and management explanations. The agency independently assesses the obligation and assigns its rating.

Are you acting on behalf of the rating agency?

No. PvtFin's assignment is with the client. Agency communications, analysis and decisions remain with the appointed rating agency and its authorised personnel.

Is this the same as CMR or CIBIL improvement?

No. External agency rating preparation and commercial credit-report work are different assignments. Your enquiry can be directed to the relevant service after an initial discussion.

Can you help with an existing rating or surveillance review?

Yes, the requirement can be assessed. The work may involve updating records, explaining material changes and coordinating responses requested by the agency.

Can a rating change during surveillance?

Yes. A rating can change as the agency reviews developments and information. Continuing support helps organise the company's inputs; it does not control the surveillance decision.

What if some information is missing or inconsistent?

We identify the gaps and agree who will resolve them. Material limitations must remain visible. The agency determines whether the information available is sufficient for its work.

Who pays the rating agency?

The client contracts and pays the agency directly under its agreement. PvtFin issues a separate quotation and invoice for the client-side work it is engaged to deliver.

How long will the assignment take?

The preparation timetable depends on scope, record quality and management availability. Agency timelines are separate. Share any financing deadline early so that dependencies can be assessed before work starts.
